Real estate books break in ways a generalist bookkeeper doesn't see coming. Rental income lumped into one account, rehab costs expensed when they should be capitalized, a 1031 exchange nobody documented, a lender asking for a rent roll that doesn't exist. Matteo Bookkeeping is a Jacksonville-based virtual accounting firm that works with real estate investors, landlords, short-term rental owners, and realtors across Duval, St. Johns, Clay, and Nassau Counties, and with investors anywhere else who want the same thing.

Who we work with

What real estate accounting with us includes

1

A P&L for every property

Rent, repairs, management fees, insurance, taxes, and mortgage interest tracked per property or per flip, so you know which deals are carrying the portfolio and which are dragging it.

2

Depreciation and capital improvements recorded correctly

Repairs versus improvements, cost segregation results, and placed-in-service dates kept straight in the books so your depreciation holds up and your CPA can actually use it.

3

1031 exchange and basis tracking

Relinquished property basis, exchange proceeds, and replacement property basis documented as the exchange happens, not pieced together after the 180-day window closes.

4

DSCR and lender-ready financials

Clean rental income and debt service by property, so a refinance or portfolio loan application takes days instead of weeks.

5

Short-term rental books done right

Airbnb and VRBO payouts grossed up for platform fees, and Florida sales and tourist development taxes tracked separately from income.

6

Entity and LLC structure mirrored in the books

One LLC, an LLC per property, or a holding company: the books match the structure, with clean intercompany tracking.

Why a bookkeeper who owns rental property

I'm Remi Matteo, an Intuit Certified Bookkeeper with a BBA and MBA in Finance, and I own rental property myself. That means I've dealt with the same repair-versus-improvement calls, lender document requests, and tax-season surprises my clients deal with. It's why I wrote why your bookkeeper should own rental property too. You work with me directly, not a rotating team, and your books are closed by the 10th of every month.

Pricing

Monthly bookkeeping starts at $299/month, flat rate, month-to-month. Investors who want tax preparation, tax planning, and hands-on advisory as the portfolio grows move to the Business Advisory tier. See plans & pricing. Already behind? Catch-up bookkeeping gets every property current first.

Real estate guides

Real estate accounting FAQ

Do you only work with real estate investors in Jacksonville?

Jacksonville and Northeast Florida is home base, including Duval, St. Johns, Clay, and Nassau Counties. Everything runs remotely through QuickBooks Online and secure file sharing, so investors with properties elsewhere in Florida or out of state work with us the same way.

Can you keep separate books for each rental property or flip?

Yes. Every property gets its own profit and loss, whether that's done with classes or locations inside one QuickBooks file or a separate file per LLC. You'll be able to see exactly which properties are earning their keep.

Do you do taxes for real estate investors?

Yes. Tax preparation and proactive tax planning are part of the Business Advisory tier, handled by the same person who keeps your books all year. On the Starter plan we hand your CPA clean, tax-ready books and work alongside them.

What does real estate bookkeeping cost?

Monthly bookkeeping starts at $299/month on a flat rate with no long-term contract. Larger portfolios, multiple entities, or catch-up work are quoted as a flat number after a quick look at your books.

Do you work with realtors and real estate agents too?

Yes. Agents have their own bookkeeping needs: commission income that arrives unevenly, brokerage splits, marketing and mileage deductions, and quarterly estimated taxes. We set the books up so those are tracked as they happen, not reconstructed in April.

I'm behind on my rental property books. Can you catch me up?

Yes. Catch-up bookkeeping is one of the most common requests we get. We reconstruct the missing months or years, tie each property out to bank statements and closing documents, and then keep it current going forward.
